Tuition Reimbursement

Emory provides a Tuition Reimbursement program to help you pay for educational expenses at educational institutions other than Emory University.

Eligibility

Regular active employees who work at least 20 hours or more per week are eligible to participate in the Tuition Reimbursement program.

Employees may begin participation at the beginning of the applicable institutional academic session following the date of employment in an eligible status.

Academic Session Dates for AY 2025:
  • Spring Semester (SS) begins January 13, 2025
  • Summer Session I (SS1) begins May 19, 2025
  • Summer Session II (SS2) begins June 30, 2025

Employees eligible to participate in the Tuition Reimbursement Program may begin utilizing the benefit at the beginning of the Academic Session following eligibility. To ensure the application is processed correctly and timely, participants should list the “course start date” that best corresponds to the Emory University Academic Session date.

Courses must be job-related or career path directed to qualify for Tuition Reimbursement. For more details, see the policy.

How to Apply

All applications for Tuition Reimbursement are received and managed online and the system will determine your eligibility.

You will need your Emory network ID and password to log in. If you don't know your net ID or password, , contact the Library and Information Technology Help Desk at 7-7777 (Monday – Friday, 7:00 a.m. – 6:00 p.m.).

Reimbursement Process

If eligible, you will receive reimbursements through your paycheck, which is based on the payroll schedule:

  • If paid biweekly, you will receive reimbursement payments in your biweekly pay advice near the middle of the month. 
  • If paid monthly, you will receive reimbursement payments in your monthly pay advice at the end of the month.

Reimbursement Amounts

Regular full-time employees are eligible to be reimbursed for the tuition costs of up to 5 credit hours per academic session. For the purpose of Tuition Reimbursement, 36 hours or more is considered regular full-time.

Regular part-time employees who work at least 20 hours per week are eligible to be reimbursed for up to 2.5 hours per academic session.

All courses taken under the Tuition Reimbursement Program must be in a degree program (i.e. associates, undergraduate or graduate). The courses may be taken to obtain a degree or for career development, however the courses must be within a degree program.

No. The cost of books, labs, student activity fees and other miscellaneous expenses related to taking the course are not reimbursable. Courses taken on an audit basis are not reimbursable. Continuing educational courses are not eligible.

Regular full-time employees are eligible to be reimbursed for the tuition costs of up to 5 credit hours per semester. Regular part-time employees who work at least 20 hours per week are eligible to be reimbursed for up to 2.5 hours per semester. Maximum reimbursement amounts will not exceed the rates charged per credit hour at an approved rate per undergraduate credit hour.

The rate of reimbursement is calculated based on eligible employee status, tuition cost and paid tuition out-of-pocket expense. Maximum rates are subject to change each fall semester. The current rate can be found in the online Tuition Reimbursement system.

Eligible active employees must submit documents online no later than 30 days following the completion of the course. You must forward the following to Human Resources:

  • Authorized student account institutional document which reflects out-of-pocket tuition expense.
  • Authorized student academic institutional document which reflects the eligible coursework and grade of “C” or passing grade in a pass/fail system.

You should use the Emory University semester start dates which the online system will identify as a valid academic session.

No, Emory University provides the Tuition Reimbursement Program to assist with personal tuition cost only. Note: Tuition Reimbursement amounts may be subject to a reduction by the amount of other scholarship and/or financial aid, including the Georgia Tuition Equalization Grant, Pell and H.O.P.E.

Yes, your loans are considered personal tuition cost; however, the same tuition maximum rate calculations will apply for reimbursement.
