COVID-19

To gain access to quick reliable information, check the Emory COVID-19 website which now has specific areas for faculty, staff and students with resources for remote learning/working, latest guidelines and campus operations.

Also, be sure to read the “Emory Together” emails as these will alert you to important information that affects our Emory community.

MORE NEWS YOU CAN USE

Notice to Biweekly University Employees and their Supervisors
As a reminder, all bi-weekly employees must clock in/out via the telephone system for each scheduled shift. If working on campus, workers should dial 2-6666 from a designated Emory phone. Remote workers may access the telephone system by dialing 404-712-9350 from their cell phone or landline phone.

Use the Emory Timecard System (ETAS) to review timecards, correct punch/clocking errors, request time off, approve leave requests, and approve timecards. To access ETAS, go to https://apps2.hr.emory.edu/timecard. Payroll recommends employees and managers review timecards frequently and pay attention to the daily timecard notifications sent via email. This will ensure all leave and work hours are reported accurately for each pay period.

If you experience any issues with the phones or ETAS, contact the Emory University payroll office at eupayroll@emory.edu.  For more information regarding time and attendance please visit our web page at finance.emory.edu.

Contacting Benefits Staff
Due to COVID-19, the Benefits and Work Life Department is now closed to walk-ins and appointments. The most efficient way to get answers to your benefits questions is to send an e-mail to hrbenef@emory.edu. This will allow us to research your question and have an answer for you when we respond.

FSAP Services
FSAP will offer remote services through telephonic sessions and consultations to meet the concerns and to support the increasing stress for our faculty, staff, physicians and their families. The office is also incorporating additional tele-mental health services through videoconferencing with the HIPAA Compliant Zoom platform. See the services offered by FSAP.

Stay Connected with the Move More Challenge
The Move More Challenge is still on! This virtual challenge is a great way to stay active and connected to your colleagues during this time. Employees form their own teams (1-10 people/team), and all teams will work together as One Emory to unlock five stages! Learn more.

Focus on your personal self-care and wellbeing by using available resources.

Changes to Investment Lineup Postponed
As the Coronavirus crisis began to unfold, Emory was in the midst of communicating a new investment lineup for Emory’s 403(b) and 457(b) Retirement Plans for Emory University, Emory Healthcare and The Emory Clinic, after many months of planning. Due to the financial market volatility that has recently occurred, the Emory Pension Board, which oversees the retirement plans, has made the decision to postpone the implementation of this project. Emory’s current investment lineup will remain in place for now. Updates about this project will be communicated to faculty and staff as they are available.

Please disregard the printed newsletter about these changes that was sent to your home address. This information was already in the mail before the decision to cancel the project was made. We apologize for any confusion this may have caused. If you have any questions, please feel free to email the Benefits staff at hrbenef@emory.edu.

Summer College Internship Program
Emory Temporary Services (ETS) has made the decision to halt all activities in regards to the FY2020 Summer College Internship Program.

Webinar: Survival Skills for Parents on March 31
Is parenting taking a toll on your health and well-being? Parenting can be very rewarding and very stressful. Striving to remain calm, in control, present and energetic while caring for children/adolescents is challenging, especially given other family or work priorities. This interactive panel discussion, hosted by the Emory WorkLife Resource Center and the Faculty Staff Assistance Program (FSAP), will offer stress management strategies, parenting tips and available resources to enhance your toolkit, peace of mind and overall self-care. Whether you are parenting infants, teens or young adults, panelists will address the broad spectrum with a holistic approach. Tuesday, March 31, 2020, 12:00 pm – 1:00 pm. Register.

Webinar: Changing Relationships - You and Your Aging Parent/Relative
Learn how to communicate more calmly and productively with aging parents who can no longer live independently. Most adult children find it difficult to talk to parents about their decline in physical and mental abilities, outside care services they may need, and the possibility of new living arrangements. To make this process easier, the seminar will present you with techniques that overcome common communication barriers when elders are resistant, angry, or unwilling to listen. You will also explore helpful assumptions about aging and how to understand the loss of independence from the parent's perspective. The seminar will conclude with a summary of how to assess activities of daily living, available care options, and a list of resources for aging adults. Presented by WorkPlace Options. March 25, 2020, 12:00 pm – 1:00 pm. Register.

Maintaining Accountability and Communication as a Remote Worker During COVID-19
Some of us are new to working remotely. You may be asking yourself, “How can I keep others informed of my work status?” Here are some quick easy you can demonstrate strong accountability and stay in touch with others:

  • Clarify all work expectations with your supervisor in advance of your decision to work remotely.
  • Determine in advance how you will communicate with others while working remotely.
  • Be certain others know your work schedule.
  • Give your supervisor a back-up telephone number should something urgent develop and you cannot be reached.
  • Establish a private workspace where you can work quietly, with fewer interruptions from your household.
  • Try your best respond to email and voice mail as you would as if you were in the office.
  • Set up online folders using Box or Microsoft Teams to allow you to share your work and collaborate with others.
  • Utilize Outlook Calendar to keep others aware of your time, what you are working on, and when you are available. Calendaring can also be used to help you stay on track with your work and meet deadlines.
  • Utilize tools such as Zoom or Microsoft Teams to continue to participate in meetings.
  • Create weekly work goals for yourself and share them with your supervisor.
  • Send a weekly report to your supervisor providing updates on work progress and any questions or concerns you may have.
  • Stay in touch with colleagues throughout the week and check-in with them to see how they are doing. Send them note to say Hi.
  • Have a little fun and schedule to have a virtual coffee or lunch with a colleague(s) using Zoom or Microsoft Teams.
