MORE NEWS YOU CAN USE

Check COVID-19 Website for Updates
Continue to check Emory University’s Emory COVID-19 website for updates on how the pandemic is impacting the university.  This is a fluid situation and guidelines and FAQs continue to change. Also, be sure to read the “EmoryTogether” emails as these will alert you to important information that affects our Emory community.

FSAP Services
FSAP will offer remote services through telephonic sessions and consultations to meet the concerns and to support the increasing stress for our faculty, staff, physicians and their families. The office is also incorporating additional tele-mental health services through videoconferencing with the HIPAA Compliant Zoom platform. See the services offered by FSAP.

Temporarily Suspend Your Parking Permit
Emory employees who wish to deactivate their parking permit and stop payroll deduction for the cost of parking can submit requests here: Parking Form.

Requests must be received by Wednesday, April 15, 2020 in order to stop the April deduction. Note: be sure to select Option 1 to continue to keep your parking permit.

Cap Temporarily Removed on Vacation Leave Accruals for Staff
Due to the current COVID-19 pandemic, HR is temporarily removing the cap on the maximum vacation hours that staff members can accrue. Vacation leave will no longer be capped at 40 days (320 hours). This change is effective April 1, 2020 for monthly paid employees and March 22, 2020 for bi-weekly paid employees. This temporary policy change will continue until the social distancing period is over. Once operations return to normal, we will make a determination on when the leave must be used. There are no changes to the maximum payout of vacation leave upon termination, which remains at 30 days (240 hours).

Notice to Biweekly University Employees and their Supervisors
As a reminder, all bi-weekly employees must clock in/out via the telephone system for each scheduled shift. If working on campus, workers should dial 2-6666 from a designated Emory phone. Remote workers may access the telephone system by dialing 404-712-9350 from their cell phone or landline phone.

Use the Emory Timecard System (ETAS) to review timecards, correct punch/clocking errors, request time off, approve leave requests, and approve timecards. To access ETAS, go to https://apps2.hr.emory.edu/timecard. Payroll recommends employees and managers review timecards frequently and pay attention to the daily timecard notifications sent via email. This will ensure all leave and work hours are reported accurately for each pay period.

If you experience any issues with the phones or ETAS, contact the Emory University payroll office at eupayroll@emory.edu.  For more information regarding time and attendance please visit our web page at finance.emory.edu.

Contacting Benefits Staff
Due to COVID-19, the Benefits and Work Life Department is now closed to walk-ins and appointments. The most efficient way to get answers to your benefits questions is to send an e-mail to hrbenef@emory.edu. This will allow us to research your question and have an answer for you when we respond.

Prevent Zoombombing
Some Emory community members have reported incidents of “Zoombombing” where uninvited guests crash their Zoom meetings, classrooms and webinars, and sometimes share upsetting or offensive content using the screen share option.

If you are hosting a Zoom call with an Emory-sponsored Zoom account and the call gets Zoombombed, please report the incident to the Emory Police Department by calling 404.727.6111 (TDD/TTY 404.320.1024) or by reporting the incident via LiveSafe.

Fun Ways to Stay Connected and Supportive of Each Other as a Team During COVID-19
It is important to remain supportive and connected with your team now more than ever. We are all adjusting to this new way of life as we practice social distancing and so many now working remotely. While everyone understands the significance of doing this, it can be isolating and scary too. As a manager you can shine a little light into your team and remind them how much you appreciate and care about them. Here is a handful of ideas to get you thinking:

  • Schedule a Team Catch Up – Ask how everyone is doing and how they are faring with COVID 19 changes professionally and personally. Invite everyone to share something about their experience.

  • Send your team a supportive message each week (an electronic card, email, video)

  • Send a small gift of your appreciation (a journal to write-in, something sweet, an uplifting book, etc.)

  • Ask your team to work together to compile a music playlist or team motto to help get through this together.

  • Invite your team to develop a weekly theme and exchange photos (High School, College, Family, Funny Haircuts, Favorite Vacation, Pets, etc.)

  • Schedule a virtual lunch

  • Develop a weekly trivia game for your team

  • Get involved in an activity that can be done together virtually (exercise challenge, recipe swap, book club, etc.)

  • Send a motivational quote to your team (daily, weekly)

  • Call out the small accomplishments and milestones
