Work Arrangement Requests

Many Emory divisions and schools require staff employees to submit their work arrangements using the Work Arrangement Tool available in PeopleSoft/Self-Service. The data collected from the tool also aids in Emory's workforce planning.

About the tool

To collect information about the various work arrangements of Emory employees, many divisions now require staff to submit their work arrangements in PeopleSoft/Self-Service. Once completed, the request is then routed to the supervisor and, in some cases, local HR for approval.

Examples of work arrangements may include:

  • working fully on campus
  • telecommuting some days, but also working on campus some days
  • working remotely 100% of the time

The tool collects data about all work arrangements, not just flexible work arrangements. It also gathers other information about the use of technology and commute times.

Why its important

When used strategically to address business challenges and support work-life, the work arrangement request tool can help both Emory and its employees in a multitude of ways, including:

  • gaining valuable insight to building usage and energy consumption
  • providing data to help Emory reduce its carbon footprint in Metro Atlanta
  • helping employees save time and money
  • enabling the Office of Information Technology (OIT) to learn about the use of technology by our workforce
  • helping Emory leaders to determine ways we can work smarter and more efficiently
  • increasing diversity of the workforce
  • managing work-life and self-fulfillment

How to use the tool

First, review your division’s policy on flexible work arrangements and discuss any flexible work arrangements with your supervisor. Each division/school has its own policy. Contact your local HR or ask your supervisor for a copy of your division's policy.

When you are ready to complete your work arrangement request, access the tool by logging into PeopleSoft (see the steps below).

The tool takes approximately 10 minutes to complete.

Steps

  • Log in to PeopleSoft/Self-Service
  • Click on the "Work Arrangement Requests" tile. If you don't see this tile in PeopleSoft, your division has not yet launched the tool (check with your supervisor or local HR)
  • Log in again with your Emory NetID and password
  • Click on "New Request" from the lefthand menu
  • Complete the form by answering the questions
  • Click Submit

Your request will then be sent to your supervisor for approval. Approval may take up to 30 days.

When to Submit Your Request

New hires: complete your work arrangement request within your first 30 days. Email reminders will be sent on day 30 of employment and every 30 days afterwards if a work arrangement request has not been submitted. This only applies to divisions that have implemented the use of the tool.

Current employees: update your work request form at minimum once per year or when a significant change in your job or work arrangement takes place. You will receive annual email reminders to complete this task. You will also receive email reminders if you are asked to submit a work request and don't complete one.

Managers: you will receive email notifications when you have a work arrangement request to approve in PeopleSoft. You should respond within 30 days. You will receive email reminders if pending approvals remain in queue more than 30 days.
